Private purchase paid for by the business

Sometimes you are in the supermarket for your groceries and suddenly notice that you only have the business' debit card with you. Then what? You can just pay with the business debit card, later on you fix this in the business accounts.

Companies without legal form, such as a sole proprietorship

Immediately repay to the company

It seems most logical to immediately pay the amount back to your company. And you can, this is how you do it:

  • Connect the business debit card transaction to the 'Opnames Bart' category.
  • Deposit the amount from your private account into a business account.
  • Connect the transaction of your deposit to the 'Stortingen Bart' category.

That solves it. But it can also be easier, as you will read below. The effect is the same, but you save yourself unnecessary work.

Note only as a debt from you to the company

If you don't want to transfer the amount to your company right away, just record it as a debt from you to the company. In practice, you will then immediately be done. It will be settled automatically in the future, you don't have to actually deposit the amount. For example, the next time your company divides the year's result, you can automatically effectively withdraw a little less of it. With that, the debt is settled. If that's what you want, then this is how you do it:

  • Connect the business debit card transaction to the 'Opnames Bart' category.

It can be that easy.

Companies with legal form, such as a private limited company (BV)

Current account

Companies with their own legal form work a little differently than companies without a legal form. This is because there is a current account, as opposed to withdrawals and deposits. You therefore proceed as follows:

  • Connect the business debit card transaction to the 'RC Bart' category.
  • Deposit the amount from your private account into a business account.
  • Also connect the transaction of your deposit to the 'RC Bart' category.

That's all. It's best to repay these matters immediately. In fact, if you have a certain debt to your company due to the current account, you are legally obliged to repay interest to the company on the full amount as well. This amount at the time of this writing is € 17,500.00. So even one large private purchase can cause you to have to pay interest as well. Get advice on this from a bookkeeper or accountant.
